Overview

As Service Administrator, you will support the Operations team by coordinating engineers, handling customer enquiries, and driving admin processes from quotation to completion. You will manage workloads, bookings, and parts orders to keep jobs progressing smoothly. The role sits at the heart of a busy, customer-focused plumbing and heating business, contributing to reliable service delivery. You’ll work with customers, engineers, and suppliers to maintain high standards and an organized, proactive workflow. Responsibilities

  • Scheduling jobs and coordinating engineers’ daily workloads
  • Managing customer enquiries by telephone and email
  • Booking, rearranging and confirming customer appointments
  • Preparing, sending and following up customer quotations
  • Responding to online leads and new enquiries
  • Ordering parts and materials and liaising with suppliers
  • Monitoring outstanding jobs and ensuring appropriate follow-up
  • Maintaining accurate customer and job records
  • Liaising with engineers to ensure they have information and materials required
  • Managing competing priorities and urgent requirements
  • Ensuring jobs are progressed efficiently from booking through to completion
  • Providing general administrative support to the Operations team
  • Maintaining a professional and customer-focused approach at all times

Key requirements

  • Previous experience in an office, administration, coordination or customer service role
  • Excellent organisational and time-management skills
  • Strong attention to detail and accuracy
  • Excellent verbal and written communication skills
  • Professional and confident telephone manner
  • Good computer literacy and ability to learn new systems quickly
  • Ability to manage multiple tasks and changing priorities
