Overview

As a Workplace Specialist at Ubisoft Reflections, you ensure the studio runs smoothly and serves as the welcoming face for colleagues and partners. You oversee facilities, safety, events, and daily operations to create a dynamic, safe, and engaging work environment. You’ll collaborate with a proactive team to continuously improve the studio experience and support the company’s creative mission. This on-site role offers meaningful impact through operational excellence in a vibrant gaming studio.

Responsibilities

• Manage physical operations and repairs to keep the studio functional
• Oversee health and safety practices, housekeeping checks, and compliance
• Coordinate events and support facilities-related activities
• Replenish vending/coffee and maintain common areas
• Maintain on-site presence five days a week with flexible scheduling when needed
• Utilize ticketing systems and administrative tools to track tasks and requests
• Contribute to continuous improvement of studio operations and environment

Key requirements

• Experience in a workplace/facilities office/coordinator role
• Understanding of general office health and safety practices, facilities management, and event coordination
• Flexibility and adaptability in a dynamic environment
• Excellent communication, collaboration, and time management skills
• Exposure to health & safety practices (housekeeping checks, fire marshal, first aid)
• Ownership mindset and proactive task management
• Familiarity with administrative tools and ticketing systems; Jira and Miro desirable
