Overview

As Administration Supervisor in our London office, you will lead a small admin team, oversee facilities and vendor relationships, and ensure accurate day-to-day operations. You will support multiple Executives and manage two direct reports, shaping workflows and service delivery. You’ll drive governance, controls, and budgeting processes to maintain compliance and efficiency in a regulated financial services environment. This role offers hands-on leadership in a smaller bank-like setting, with broad ownership and meaningful impact on operations.

Responsibilities

  • Support multiple Executives with Administration, especially travel
  • Manage and develop two Administration Assistants, including appraisals and workload reviews
  • Plan and prioritise team workload to meet deadlines and service standards
  • Own day-to-day administrative operations with minimal supervision
  • Manage facilities providers and third-party vendors; monitor service delivery and address issues
  • Oversee vendor processes including contracts, approvals, risk assessments, expenditure and invoices
  • Maintain accurate records and ensure administrative expenditure aligns with budgets
  • Provide support to senior executives and adapt to changing priorities
  • Prepare management information and reporting for senior management
  • Maintain and improve administrative policies, controls and documentation
  • Identify operational risks and inefficiencies and take corrective action
  • Support projects and coordinate their impact on administrative activities
  • Diarise for Head of Department for Administration and Facilities when required
  • Adhere to internal policies, governance frameworks, approval procedures, UK law and regulatory obligations

Key requirements

  • Experience managing and developing admin staff with appraisals and performance reviews
  • Strong interpersonal skills with ability to delegate, challenge, and hold others accountable
  • Experience in financial services, banking or similarly regulated environments
  • Experience in small/medium-sized bank or financial services business (<700 employees)
  • Practical experience of facilities and vendor/supplier management
  • Exceptional attention to detail and accuracy
  • Strong organisational skills with competing priorities
  • Understanding of governance, approval processes and internal controls
  • Confidence dealing with senior management and stakeholders
  • Judgement and initiative to resolve operational issues independently
