Job Title: Accounts & Office Administrator

Location: Office-based in Pudsey, West Yorkshire

Hours: 15 – 20 hours per week, Monday – Friday, with the exact contracted hours negotiable

Salary: £14.00 per hour (£10,920 per annum for 15 hours – £14,560 per annum for 20 hours)

Contract: Permanent

Reports to: Director

DBS Check: A DBS check is required for all staff as part of our standard recruitment process. We will cover the cost of the check where the successful candidate does not already have a suitable current DBS check.

About the Role

Sense of Numbers is a friendly, established small accountancy practice based in Pudsey, Leeds, providing accounting, tax compliance and payroll services to individuals and small businesses across the UK.

We are looking for a reliable and organised Accounts & Office Administrator to join our small team and take ownership of the day-to-day administration that keeps the practice running smoothly. This is a varied part-time role, with a strong focus on office and client administration, alongside supporting the accounts team with straightforward administrative tasks. You will work closely with the Directors and wider team, helping to keep client information organised, ensuring administrative tasks and deadlines are followed up, and making sure the office runs efficiently.

There will also be opportunities to develop your knowledge of accountancy and bookkeeping over time, including learning our accounting software and supporting the team with basic bookkeeping tasks as your skills and confidence develop.

Key Responsibilities

Client & Practice Administration

  • Act as a friendly and professional first point of contact for clients by phone, email and occasional in-person visits, and assist with new client onboarding and related administration
  • Maintain accurate client records, organise documentation and carry out straightforward AML administration using our established processes and templates
  • Monitor important client and practice deadlines, follow up outstanding information and keep administrative tasks on track

Accounts & Team Support

  • Gather and organise information and records from clients and prepare documents and reports for the accounts team
  • Provide general administrative support with accounts, tax and payroll work, including occasional invoicing and preparation of documentation
  • Develop your knowledge of accountancy and bookkeeping over time, including learning our accounting software and assisting with basic bookkeeping as your skills develop

Office Administration

  • Manage day-to-day office administration, including post, office supplies, filing and maintaining an organised working environment
  • Keep electronic and physical records up to date and ensure information is stored accurately and securely
  • Help identify and implement simple improvements to administrative processes and ways of working

Additional Support

  • Assist with occasional marketing and communications tasks, such as scheduling social media posts, updating website content and supporting newsletters
  • Assist with occasional business networking and industry event arrangements, including registrations and practical travel or accommodation bookings
  • Provide general administrative support to the Directors and wider team as required

Person Specification

Essential Skills and Experience

  • Previous experience in an administration, office or customer-facing role
  • Good working knowledge of Microsoft Office (Outlook, Excel, Word)
  • Excellent attention to detail and organisation, with the ability to manage and monitor important deadlines
  • Confident and professional communication skills, both by telephone and email
  • A good understanding of confidentiality and the importance of handling client, financial and business information appropriately
  • Comfortable learning new software, systems and processes
  • A friendly, approachable and professional manner
  • Reliable and able to work independently, while knowing when to ask for help or clarification

Desirable Skills and Experience

  • Previous experience in an accountancy, bookkeeping or professional services environment
  • Familiarity with QuickBooks, Xero, FreeAgent or other accounting / practice management software
  • Experience with client onboarding or administrative compliance processes
  • Basic bookkeeping or finance administration experience
  • Experience with Photoshop, Mailchimp, Canva, or website content management
