We are seeking an Operation & Maintenance Coordinatorbased in Banbridge to be part of our growing team.
The successful candidate will take ownership of the O&M process from project commencement through to final handover, ensuring that all required project information is obtained, reviewed, coordinated and issued in accordance with client and contractual requirements.
The role involves regular engagement with Project Teams, Design, Procurement, Commissioning, Compliance Teams, Subcontractors, Manufacturers and Clients to ensure all documentation is accurate, complete and submitted within project deadlines.
The position requires a highly organised and proactive individual who can manage multiple projects simultaneously, coordinate information from a wide range of stakeholders and drive completion of project handover deliverables.
| KEY RESPONSIBILITIES |
O&M Management
- Take ownership of O&M manual production across multiple projects.
- Develop and maintain project-specific O&M trackers.
- Establish project handover requirements at project commencement.
- Liaise with clients to agree O&M and handover requirements.
- Coordinate the compilation and issue of O&M Manuals.
Documentation Coordination
- Coordinate collection of information from internal departments.
- Obtain operation and maintenance procedures.
- Compile commissioning records.
- Verify and file certification and compliance documentation.
- Track warranties and guarantees.
- Organise product data sheets for inclusion in manuals.
- Maintain accurate asset information and schedules.
As-Built Information Management
- Coordinate collection of as-built drawings.
- Liaise with site and design teams to obtain drawing revisions.
- Ensure final drawing packages are complete.
- Manage drawing registers.
Technical Review & Quality Control
- Review documentation for completeness before inclusion in manuals.
- Verify information is relevant and accurate.
- Review submissions against client specifications.
- Identify missing information and manage actions to completion.
Stakeholder Coordination
- Work closely with Design, Operations and Commissioning teams.
- Issue documentation requests and follow-up actions.
- Monitor response times from internal teams and supply chain.
- Escalate outstanding information where required.
- Drive accountability for project handover deliverables.
Reporting & Monitoring
- Maintain live project handover trackers.
- Produce weekly status reports.
- Report project risks relating to handover documentation.
- Highlight overdue actions.
Process Improvement
- Improve document control processes.
- Support digitalisation initiatives.
- Support lessons learned initiatives to improve future delivery.
| EXPERIENCE & KNOWLEDGE |Essential
- Minimum 3-5 years experience producing O&M manuals or technical handover documentation.
- Experience working within a construction environment.
- Strong understanding of M&E systems, and digital documentation workflows.
- Familiarity with building codes, health and safety regulations, and other applicable laws and regulations.
