Overview

In this role you support the Property & Engineering Managers to operate and maintain a portfolio of buildings, ensuring safety, compliance, and smooth day-to-day running. You act as deputy to the Property Manager and provide admin and coordination support to the management team. You help manage records, contracts, service charges, and health & safety processes, contributing to reliable, well-managed spaces. You work across client relations, facility operations, and office administration to help deliver high-quality environments. This role offers broad exposure in a leading property management team within a FTSE-listed company and a chance to impact building operations in central London sites

Responsibilities

  • Support Property & Engineering Managers in client relations and information flow on building issues
  • Maintain compliance records for operational processes and procedures
  • Assist in procuring costs and information to prepare service charge budgets
  • Ensure health & safety procedures and safe practices are enforced and current legislation is followed
  • Take control in emergencies in the absence of the Property Manager and execute evacuation plans
  • Conduct regular inspections of completed works, service contracts, and all premises areas
  • Support routine correspondence and manage administrative duties for efficient building management office
  • Prepare service specifications, contracts, and documentation aligned with company guidelines
  • Track and process service invoices and contribute to management accounts
  • Manage the Concept PPM/help desk facility (setup, data entry, asset registers, ppm scheduling, reporting)
  • Coordinate landscaping/decorative planting with contractors over Christmas period
  • Take ownership of Broadgate Estates vision and values across building services
  • Other duties as directed
