Overview

As a Team Administrator in our London office, you enable smooth project delivery by managing routine admin and coordinating cross-functional support. You will act as the main admin point of contact, support RFPs/Tenders, and set up projects and CVs, contributing to QA and documentation processes. You collaborate with the project team to organise meetings, travel, and records, ensuring efficient workflows and compliance. This role offers exposure to a global consultancy culture with a focus on process excellence and stakeholder service.

Responsibilities

  • Provide professional admin support to the project delivery team and assist in smooth project execution
  • Act as main admin contact following the project delivery process and manage delegated tasks for RFPs/PQQs/Tenders
  • Set up enquiries and projects per process and share details with the team
  • Create project collaboration channels with standard folder structure in Teams
  • Format specifications, reports, and presentations using templates; process general correspondence
  • QA project documents, raise inconsistencies, and correct as needed
  • Maintain project team CVs and liaise with members
  • Arrange internal, external, and online meetings, book meeting rooms and catering
  • Reconcile corporate credit card activity monthly
  • Archive closed project/enquiry folders and manage couriers
  • Assist with expenses and timesheets; administer holiday leave for the project team
  • Arrange domestic and international travel, itineraries, and travel insurance
  • Support QA compliance and document filing; assist with onboarding/offboarding
  • Maintain project team organograms and manage central inbox
  • Coordinate site H&S cards (CSCS, Skillcard) and assist with PPE and risk assessments
  • Assist with event coordination and NDA management via Docusign
  • Attend Global and Europe Admin Team meetings and provide holiday cover as needed
  • Perform ad hoc admin tasks and act as Admin Champion for area of responsibility

Key requirements

  • Previous experience in a team secretarial/administrator role
  • Experience in a busy consultancy office environment (desirable)
  • Excellent time management, multi-tasking, and organizational skills; ability to work independently
  • Strong organization skills and ability to prioritise workload
  • High accuracy and attention to detail
  • Flexible hours and ability to work overtime on short notice
  • Excellent interpersonal and written/oral communication
  • Ability to meet tight deadlines
  • Proficiency in Microsoft Office 365 (Word, PowerPoint, Excel, Outlook, Teams) – essential
  • Knowledge of G-Suite (desirable)
  • Knowledge of Salesforce, Planisware, Temis, Solar Winds ARM (desirable)
  • Knowledge of Docusign (desirable)
