Overview
In this role you will oversee daily operations for engineering and maintenance across commercial properties, ensuring timely PPMs and high service quality. You will work closely with subcontractors, clients, and support teams to maintain efficient administration and robust reporting. You will manage subcontractor activities, financial processes, and contract compliance, influencing day-to-day service delivery. This role offers impact through operational leadership across the Southern region from the London office, with a focus on safety, efficiency, and stakeholder engagement. You will be a capable problem-solver who drives continuous improvement and reliable service outcomes.
Responsibilities
- Manage day-to-day operational requirements across sites
- Ensure Planned Preventative Maintenance (PPM) is completed on time and to standards
- Monitor performance using reactive and PPM systems to maintain service quality
- Provide on-site support during staff absence or critical needs
- Raise purchase orders for engineers and subcontractors
- Complete monthly billing paperwork and oversee Work in Progress (WIP) for invoicing
- Schedule and manage subcontractor visits, extra works, and callouts
- Ensure subcontractor documentation meets Health & Safety and legislative requirements
- Process supplier and subcontractor invoices and resolve queries
- Maintain subcontractor and supplier records
- Review weekly financial reports (WIP, OPO, PI, debt) and support queries
- Act as first point of escalation for financial and contract support
- Manage out-of-hours callout rota and arrange cover
- Ensure compliance with contractual KPIs and SLAs
- Communicate effectively with sub-contractors and clients
- Support internal and client reports (monthly, quarterly, annual)
- Take minutes during internal and client meetings when required
- Support onboarding of new staff, including eLearning and IOSH setup
- Act as a super-user for systems
- Manage hazard reporting and training arrangements
- Ensure all tasks are completed and followed through
Key requirements
- Technical background in electrical or mechanical engineering
- Experience in managing sub-contractors
- GCSE-level English and Maths
- Proficient in Outlook, Word, PowerPoint, Excel, and CAFM systems
- Strong verbal and written communication skills
