Overview

In this role you will coordinate and deliver small projects for the UK & EMEA, acting as the main link between stakeholders, clients and senior management. You will work with the Account Director and PDS Manager to plan, schedule and finish projects on time and within budget, focusing on cost efficiency and responsive service. You will engage cross-functionally to ensure safe, compliant delivery and to optimize each workstream. This is a hands-on opportunity to shape project outcomes in a real estate services context with a clear impact on client satisfaction and financial performance.

Responsibilities

  • Deliver a diverse portfolio of Small Projects across UK & EMEA
  • Create detailed move schedules, inventory audits, and seating plans
  • Coordinate vendors including moving crews and IT/telecom technicians
  • Prepare tenders, specifications and business cases, and manage works to completion
  • Respond to reactive issues outside FM remit
  • Support Facilities Managers with Small Projects delivery
  • Manage CAPEX expenditure for clients
  • Provide assurance and compliance with audits
  • Raise Vanguard purchase orders for projects
  • Manage office space changes (Re-stacking Vanguard personnel)
  • Maintain regular progress updates with clients/stakeholders
  • Procurement & vendor management to ensure on-time, within-budget delivery
  • Assist in contract management to ensure value and expiry monitoring
  • Ensure financial processes align with company codes and ethics
  • Health & safety compliance and safe working environment
  • Recommend quality improvements and adopt industry best practices
  • Maintain critical environment (CEM) requirements and risk assessments
  • Develop guidelines to ensure regulatory compliance
  • Achieve KPI and SLA targets

Key requirements

  • 5+ years post-qualification experience in a consulting or contracting organisation
  • Professional qualification (APMP, CIBSE, AssocRICS/MRICS or working towards APC)
  • Experience in Financial Services/Banking environment
  • Experience delivering fabric, mechanical & electrical projects
  • Experience with EA’s for office moves
  • Strong people skills and stakeholder interaction
  • Knowledge of occupational safety requirements
  • Strong PC literacy and ability to use multiple systems
  • Vendor management experience for specialized services
  • Understanding of property systems (CRAC, Chiller, Fire, M&E, BMS)
  • Ability to interpret commercial contracts
  • Budget management and financial analysis skills
  • 3–4 days on site per week
  • Travel across the country as required
