Overview

In this Legal PA role within Fieldfisher’s Dispute Resolution practice, you enable partners and fee earners to focus on high‑impact work through proactive admin support. You manage diaries, coordinate meetings and travel, and handle file and mailbox management to keep the team organized and responsive. You contribute to client liaison, billing support, and marketing/BD tasks, acting as a trusted form of cross‑functional coordination. Your work helps the team deliver efficient, client‑centred dispute resolution services at scale.

Responsibilities

  • Manage calendars to avoid conflicts and ensure timely client meetings
  • Prepare fee earner meeting materials and coordinate travel/logistics for partners and clients
  • Oversee file management and electronic filing, including opening/closing matters
  • Prioritize and respond to mailbox, act as gatekeeper in fee earners’ absence
  • Communicate priorities with fee earners and manage to‑do lists
  • Perform limited typing and dictation for urgent documents
  • Coordinate client liaison and handle simple queries
  • Delegate tasks to Document Production/Practice Administration to maximize PA time
  • Support proactive billing and credit control, including time recording checks in InTapp and invoicing readiness
  • Collaborate with accounts to resolve billing issues quickly
  • Assist with marketing assets: photos, website content, bios, and document proofreading/ hyperlinking
  • Assist with bids: updating Master CVs, credentials lists, and credentials database
  • Support business development: manage contact data, pipeline updates, conference calls, and travel logistics
  • Assist with new matter opening via InTapp Intake and engagement letters via Contract Express
  • Conduct ad hoc conflict checks and process improvements
  • Deliver ad hoc tasks as required
  • Support team workload management within the practice group and firm

Key requirements

  • Experience in a corporate environment or legal/finance support is useful
  • Strong liaison skills with colleagues and professionals
  • Diary management, organisation and prioritisation abilities
  • Effective communication and relationship-building with clients and staff
  • Team player with competent, accurate typing
  • Professional telephone manner and accurate message passing
  • Proficiency with Microsoft Office: Word, Excel, PowerPoint, Publisher, Outlook
  • Familiarity with InTapp Intake and Contract Express is a plus (not mandatory)
