Summary of position

The Business Support Manager will manage the day to day running of the office, ensuring the business operates safely, sustainably, and efficiently in accordance with regulatory and client requirements, with support from the Office Administrator.

Key responsibilities

Reporting to the Chief Executive Officer the role requires:

  • Providing personal assistance and administrative support to the CEO
  • Dealing with facilities issues and supervision of the day-to-day running of the office
  • Managing office contracts, suppliers and service providers and monitoring expenditure
  • Lead the coordination of workplace health and safety activities, ensuring compliance with statutory obligations, internal policies and landlord requirements, whilst promoting a positive health and wellbeing culture.
  • Completing (or arranging for competent person to complete) internal audits in relation to office health and safety such as Fire Risk, PAT testing and assessment and management of the risks
  • Coordinate the Company’s ESG programme, including environmental performance monitoring, carbon reporting, sustainability initiatives, supplier ESG assessments and preparation of client ESG submissions and questionnaires
  • Working with Risk & Compliance to ensure compliance with ISO standards
  • Procurement of Business Insurances, in coordination with R&C
  • Reviewing departmental business policies and monitoring implementation
  • Coordinating Office Fire Marshals, First Aiders and Mental Health First Aiders
  • Developing effective working relationships with internal and external stakeholders
  • Act in accordance with the requirements of Consumer Duty

Required skills/experience

  • Proven experience in office, facilities or business support management
  • Strong organisational and project coordination skills
  • Excellent written and verbal communication skills
  • Supplier and contract management experience
  • Health & Safety administration experience
  • Strong analytical and reporting capability
  • Experience developing and reviewing policies and procedures
  • Proficient in Microsoft 365 applications
  • ESG and sustainability reporting experience
  • ISO 9001, ISO 14001 or ISO 27001 experience
  • Procurement and supplier due diligence experience
