Overview

In this role you provide proactive administrative and practice support to partners, associates and fee earners in a fast-paced, international law firm. You will manage complex diaries across time zones, coordinate travel, and prepare legally related documents with high accuracy and discretion. You’ll work closely with clients and internal teams to ensure seamless service, confidentiality and professionalism. Responsibilities

  • Provide day-to-day administrative and practice support to partners, associates and fee earners
  • Manage complex diaries, meetings, deadlines and reminders across time zones
  • Coordinate international and domestic travel logistics
  • Prepare and format documents using firm templates and Litera to high standards
  • Support document and matter-related tasks including redlining, bundling and filing
  • Liaise with clients, counsel, courts, vendors and internal stakeholders professionally
  • Maintain confidentiality and integrity of sensitive information
  • Open, maintain and close client/matter files in line with procedures
  • Manage time-entry reminders and ensure deadlines are met
  • Support business development activities and firm initiatives
  • Collaborate with Atlanta Resource Centre and other service teams to deliver high-quality support
  • Provide cover for peers during busy periods and escalate capacity issues as needed
  • Use firm systems for document management, time recording, expenses and workflows
  • Follow confidentiality, data protection, and information security policies
  • Perform other related administrative tasks and ensure compliance with SRA regulations

Key requirements

  • Previous legal administrative support experience in a law firm or professional services
  • Strong organisational skills with multiple deadlines and changing demands
  • Excellent attention to detail and accuracy
  • Professional, calm, client-focused written and verbal communication
  • Ability to prioritise, use initiative and work with minimal supervision
  • Confidence supporting senior stakeholders in a demanding environment
  • Teamwork, flexibility and willingness to cover or support colleagues
  • Absolute discretion and integrity with confidential information
  • Resilience and ability to work at pace while maintaining professionalism
  • Strong technical skills in Word, Outlook, Excel, PowerPoint, DMS and time recording systems
  • Experience with Litera and applying house styles is desirable
