The Greater London Authority is seeking a highly organised and proactive Executive Assistant to provide high-level support to senior leaders within the People Function, including the Interim Assistant Director of People, Heads of Service across Strategic Resourcing & Engagement, and the Executive Director of Corporate Resources & Business Improvement.

This is a pivotal role within a fast-paced and high-profile directorate that delivers key corporate services and supports the ongoing development of People services across the GLA. We are looking for a professional individual with excellent organisational skills, strong attention to detail, and the ability to build effective working relationships with a wide range of stakeholders.

3-month contract with the possibility of extension.

n

Location: City Hall, London (within walking distance of Canning Town Underground Station and Royal Victoria DLR Station) Hybrid working arrangements available.

n

Rate: £26.30 per hour PAYE or £34.15 per hour Umbrella

About the Role

n

As Executive Assistant, you will play a key role in supporting senior leaders and ensuring the smooth and effective running of executive activity. You will manage complex schedules, coordinate sensitive communications, maintain governance processes and act as a key point of contact for both internal and external stakeholders.

n

This position offers an excellent opportunity to work closely with senior leadership, gain valuable strategic exposure and contribute to the delivery of the GLA's People Strategy.

Key Responsibilities

n

    n

  • Provide high-level Executive Assistant support, including complex diary management, inbox management and meeting coordination.
  • n

  • Prepare briefings, reports, presentations, correspondence and other documentation for senior leaders.
  • n

  • Coordinate governance and compliance processes, including Freedom of Information requests, Mayor's Questions and related activities.
  • n

  • Support financial administration processes, including purchase orders, budget monitoring and Ariba transactions.
  • n

  • Ensure consistency and accuracy across processes, documentation, records and approval workflows.
  • n

  • Lead the organisation and ongoing maintenance of the People Function SharePoint site.
  • n

  • Act as a professional and responsive point of contact for senior internal and external stakeholders.
  • n

  • Contribute positively to the wider Executive Support Team and support continuous improvement initiatives.
  • n

About You

n

To be successful in this role, you will have:

  • Previous experience providing executive support at senior leadership level.
  • n

  • Excellent diary, inbox and stakeholder management skills.
  • n

  • Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
  • n

  • Exceptional written and verbal communication skills.
  • n

  • Experience working with confidential and sensitive information with discretion and professionalism.
  • n

  • Strong IT skills, including Microsoft Office applications and collaborative working platforms.
  • n

  • Experience of governance, administration and coordination processes within a complex organisation would be advantageous.
  • n

  • Experience using SharePoint and financial systems such as Ariba would be desirable.
  • n
