The role:
An exciting opportunity has arisen for a Senior Business Support Assistant to join Specialist Children’s Services in Renfrewshire. As part of the Business Support Team, you will provide comprehensive secretarial and administrative support to the Neurodevelopmental Pathway, Child and Adolescent Mental Health Services (CAMHS) and Community Paediatric Teams while helping to ensure the smooth day-to-day running of the service. This is a varied and rewarding role where you will work closely with multidisciplinary teams, support colleagues and make a meaningful contribution to services that positively impact children, young people and families. Duration, Location, and Working Pattern:
- Full-time, Permanent
- You will be based at The Aranthrue Centre
- Working Pattern: Monday – Friday 09:00 am – 17:00 pm
Key responsibilities:
- Provide comprehensive secretarial and administrative support to multidisciplinary clinical teams
- Supervise the day-to-day administrative function of the service and provide support and guidance to Band 2 and Band 3 staff
- Manage appointments, patient enquiries and correspondence using electronic patient management systems
- Produce reports, letters, presentations, statistical information and other service documentation to a high standard
- Maintain accurate records, databases and filing systems while supporting referral management processes
- Support the delivery of audits, data collection, service improvement initiatives and workforce information processes
- Act as a professional first point of contact for patients, families, staff and partner organisations, ensuring a high standard of customer service
Knowledge, training, qualifications and/or experience required to do the job:
- Recognised qualification in Administration equivalent to HNC in Secretarial Studies or Business Administration, SVQ Level 3 in Administration or significant relevant equivalent practical experience
- Demonstrable competence in the use of a range of computer packages such as Microsoft Office applications and electronic information systems
- Relevant experience within a busy administrative, business support or secretarial environment
- Excellent organisational skills with the ability to manage competing priorities and work independently
- Strong communication and interpersonal skills with the ability to work effectively with staff, patients, families and external agencies
- Advanced keyboard and typing skills with a high level of accuracy and attention to detail
- Ability to supervise staff, use initiative, solve problems and contribute positively to service delivery and improvement initiatives
