As our business continues to grow, we are seeking a professional, organised and proactive Office Administrator to join our team based in Warwickshire, England. This role will be at the heart of our daily operations, providing support across administration, sales, customer service, HR, health & safety and general business functions.

The Role

The Office Administrator will act as the first point of contact for many customers, engineers, suppliers and visitors, while providing administrative and operational support to multiple departments across the business.

The successful candidate will work closely with the Sales, Operations, Production, Engineering and Management teams, helping to ensure that day-to-day activities run efficiently and professionally.

The role combines traditional office administration responsibilities with sales support, HR administration, health and safety coordination and wider business support activities.

Key Responsibilities

Office & Administration

  • Manage incoming telephone calls, emails and general enquiries.
  • Welcome visitors and maintain a professional front-office environment.
  • Coordinate office administration and maintain company records.
  • Organise meetings, travel arrangements and accommodation.
  • Prepare reports, presentations and business documentation.
  • Support management with day-to-day operational activities.
  • Maintain filing systems and ensure accurate record keeping.
  • Handle inbound sales enquiries and direct opportunities to the appropriate team members.
  • Assist with preparing quotations, proposals and customer communications.
  • Maintain and update customer information within the CRM system.
  • Follow up with prospects and customers regarding enquiries and opportunities.
  • Support trade shows, exhibitions and customer events.
  • Work closely with the Sales & Business Development team to ensure excellent customer service throughout the sales process.

HR Administration

  • Assist with recruitment activities and interview coordination.
  • Prepare onboarding documentation for new employees.
  • Maintain employee records and HR systems.
  • Support holiday, absence and training administration.
  • Coordinate staff training records and certification renewals.
  • Assist with employee communications and engagement initiatives.
  • Assist with creating and sending Purchase Orders
  • Liaising with suppliers to confirm delivery dates
  • Delivery tracking and updating to customers
  • Booking parts out of and into stock
  • Booking training for engineers
  • Submitting and chasing supplier warranty claims
  • Submitting invoicing information for engineer recharge jobs

Health & Safety Administration

  • Maintain health and safety records, policies and documentation.
  • Coordinate employee inductions and training records.
  • Assist with accident reporting and compliance administration.
  • Support audits, inspections and risk assessment documentation.
  • Ensure records remain current and compliant with company requirements.

Customer Service & Business Support

  • Act as a professional first point of contact for customers, suppliers and stakeholders.
  • Resolve routine enquiries and coordinate responses across departments.
  • Support project administration and internal coordination activities.
  • Assist with continuous improvement initiatives and business processes.
  • Carry out additional duties as required to support the growth of the company.

What We’re Looking For

  • Previous experience in an office administration, business support or customer service role.
  • Excellent organisational and communication skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Professional and confident telephone manner.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel and Teams.
  • Ability to work independently and as part of a team.
  • Positive, proactive and flexible approach to work.
  • Experience within engineering, manufacturing, construction or industrial sectors.
  • Knowledge of HR administration processes.
  • Experience supporting health and safety compliance activities.
  • Familiarity with CRM systems.
