The Opportunity

As an Administrative Assistant, you will play an important role in supporting day-to-day operations and ensuring administrative processes run smoothly and efficiently. You will work closely with senior colleagues, contributing to the upkeep of accurate records, preparing documentation, and handling a variety of routine and project-based administrative tasks.

Key Responsibilities

Administrative & Documentation Support

  • Maintain accurate and well-organised records across internal systems and shared databases.
  • n

  • Prepare, format, and update documents, spreadsheets, and reports.
  • n

  • Organise and maintain digital filing systems, ensuring information is accessible and up to date.
  • n

  • Assist with routine reporting, creating summaries, logs, and checklists.
  • n

Team & Operational Coordination

    n

  • Support internal teams by gathering information, preparing materials, and coordinating routine tasks.
  • n

  • Track outstanding actions, deadlines, and project milestones.
  • n

  • Liaise with colleagues across multiple departments to facilitate smooth operations.
  • n

  • Assist in the preparation of meeting materials, agendas, and notes.
  • n

Office & Administrative Tasks

    n

  • Manage inboxes, calls, and general correspondence as required.
  • n

  • Support in scheduling appointments, coordinating diaries, and arranging internal meetings.
  • n

  • Help maintain organised office processes, supplies, and shared resources.
  • n

  • Provide general administrative support to senior operations and management staff.
  • n

Systems & Data Management

    n

  • Input, update, and verify data across spreadsheets, logs, and internal platforms.
  • n

  • Support quality control processes, ensuring information is consistent and accurate.
  • n

  • Help maintain reference numbers, codes, and organisational identifiers in line with internal processes.
  • n

Essential Skills & Experience

  • Background in administration, office support, data management, or similar structured work.
  • n

  • Excellent attention to detail and a strong commitment to accuracy.
  • n

  • Highly organised with the ability to manage multiple tasks and deadlines simultaneously.
  • n

  • Confident using Microsoft Office (especially Excel), shared drives, and digital file systems.
  • n

  • Clear written and verbal communication skills.
  • n

  • Proactive, dependable, and comfortable working both independently and within a small, fast-paced team.
  • n

  • Able to handle sensitive or confidential information with discretion.
