Executive Assistant to CEO & Investment Team – Private Equity Mayfair,

The opportunity

A newly established private equity firm in Mayfair is hiring its first dedicated Executive Assistant. This is a rare chance to join at the start and shape the role as the firm grows. You will support the CEO and a small investment team. You’ll work closely with the Chief of Staff, who will support your development.

What you’ll be doing

• Managing complex diaries across time zones, including investment committee and investor meetings
• Coordinating international travel with the firm’s travel agency, including flights, hotels, visas and itineraries
• Processing expenses, invoices and reimbursements, and making sure the accountants have what they need for monthly reporting
• Acting as the main contact for outsourced providers: travel, accounting, fund administration and IT
• Running office administration, including helping to set up a new, larger office
• Organising events, from the Christmas party to investor roadshows and board meetings
• Supporting the onboarding of new joiners
• Providing personal assistance to the CEO

What we’re looking for

• 3+ years as an EA, ideally in private equity, venture capital, asset management or investment banking
• Experience in a smaller firm or start-up, where you built processes rather than inherited them, is a real advantage
• Confident everyday use of AI tools (the team uses Claude and ChatGPT), with the judgement to check the output
• Strong Microsoft Office skills; experience with Amex and Xero or similar is useful
• Polished, discreet and confident with senior investors and high-profile contacts
• Proactive, resourceful and happy with a “no task too small” approach

This is a high-performing but friendly team that is doing interesting work and growing fast. The role suits an ambitious EA who wants a role that grows with the business and exposure to senior people in private markets. The pace is demanding and hours sometimes run beyond the standard day.
