We’re looking for an experienced Building Manager to oversee the smooth operation of a high‑end residential development based in Portsmouth, ensuring a high‑quality living environment for residents while maintaining the property to the highest standards.

- Salary: £39,000‑£43,000 (Dependent on Experience)
- Hours: Monday to Friday, 8am‑5pm
The Role
The Building Manager is responsible for the effective day‑to‑day management of the development, with a strong emphasis on proactive, transparent communication with residents through the online portal. As the Building Manager, you will take direct responsibility for the smooth running of the development, with a particular focus on:
- Running and maintaining all aspects of the property through our Dwellant system, ensuring records are accurate and up to date.
- Communicating proactively with residents through the online portal, ensuring they are fully informed of building matters.
- Managing and supporting site‑based staff to deliver a high standard of service.
- Overseeing planned and reactive maintenance, including contractor management and clear resident updates.
- Carrying out regular inspections to ensure communal areas are safe, compliant and well presented.
Key Responsibilities
- Maintenance & Repairs
- Conduct regular inspections of communal areas using inspection software, ensuring cleanliness, functionality and safety.
- Instruct maintenance works and utilise the Maintenance Operative to minimise unnecessary call‑outs.
- Manage contractors, approve and assess maintenance work, ensure compliance with safety protocols and verify invoices.
- Coordinate planned maintenance to meet required standards and prepare quarterly updates with the Estate Manager.
- Manage stock levels for day‑to‑day items and facilitate meter readings for communal utilities.
- Ensure the Scope of Services is up to date and amend where necessary.
- Oversee system tests (emergency lighting, fire alarms, lift emergency lines) for compliance.
- Monitor parking compliance and address related issues.
- Provide input for budget planning, tender processes and contract recommendations.
- Request quotes, issue work orders and obtain estimates where outside delegated authority.
- Follow up on emergency repairs, keeping residents updated.
- Review contractor documentation (RAMS, Public Liability Insurance) and liaise with Health & Safety for high‑risk works.
- Arrange and follow up on reactive and planned maintenance within appropriate timescales.
- Oversee minor repairs completed by the maintenance operative and produce C‑Site reports.
- Coordinate and follow up on emergency repairs with portal updates.
- During major works, minimise disruption and provide regular updates via the portal.
- Input hazards from risk assessments into the Dwellant system and ensure closure or escalation when needed.
- Log, manage and complete insurance claims in a timely manner with regular communication to leaseholders.
- Display accurate noticeboard information across the site.
- Manage front‑of‑house staff for parcel and key handling.
- Welcome new residents, introduce house rules and maintain a visible presence.
- Handle formal complaints and provide background information to the Estate Manager.
- Lead, mentor and support on‑site staff, conduct regular appraisals and manage rota, holidays and appraisals.
- Enforce policies and procedures for consistency and compliance.
- Conduct candidate interviews with support from Operations and Estate Managers.
- Resident Services – Ensure effective, proactive communication with residents via the portal and maintain a high level of service in all resident interactions.
- Team Management – Lead, mentor, train, and appraise site staff; manage rotas, holidays and staff efficiency.
Experience
- Proven experience managing prestigious residential developments or projects of similar size and scope.
- Strong leadership skills with a track record of managing, mentoring and developing a team.
- Contractor management expertise, including assessment and approval of works.
- Financial management experience, reviewing site budgets and ensuring work remains within budget.
Qualifications
- Either working towards or holding an IWFM, TPI or equivalent property/facilities management qualification.
Skills
- Exceptional time management and task prioritisation, supported by an organised Outlook diary.
- Outstanding communication skills, both written and verbal, including experience presenting via Teams or similar virtual platforms.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Confident in using resident portal systems and digital reporting tools (Dwellant experience preferred).
- Previous experience with Qube property management software (preferred).
