Are you an experienced PA or Executive Assistant with previous litigation experience?

n We are currently recruiting for an exciting 12-month fixed-term PA opportunity based in Edinburgh.

n This is a fantastic opportunity for an experienced PA to provide high-quality, proactive administrative and secretarial support within a busy and professional working environment.

The Role

n The successful candidate will provide effective and efficient PA support, managing a varied workload and ensuring that all tasks are completed accurately and within required deadlines.

n The role will involve supporting senior colleagues with diary and inbox management, document preparation, meetings, travel arrangements, client communication and financial administration.

Key Responsibilities

    n

  • Provide comprehensive PA and secretarial support to senior colleagues.
  • n

  • Prepare, format and proofread correspondence, documentation and presentations.
  • n

  • Draft correspondence and documents on behalf of senior colleagues.
  • n

  • Produce and amend large and complex documents, including using track changes and document comparison tools.
  • n

  • Assist with the preparation of relevant documentation for court when required.
  • n

  • Manage busy diaries, arrange meetings and coordinate meeting requirements.
  • n

  • Organise meetings, including rooms, technology, catering and attendees, and take minutes where required.
  • n

  • Manage inboxes and correspondence, including providing cover during periods of absence.
  • n

  • Manage client and matter administration, ensuring relevant processes and documentation are completed accurately.
  • n

  • Liaise with internal departments to coordinate finance, IT, facilities and other administrative requirements.
  • n

  • Support billing and invoicing processes, including dealing with queries and purchase orders.
  • n

  • Process expenses and assist with accurate time recording.
  • n

  • Arrange travel, accommodation and detailed itineraries.
  • n

  • Maintain accurate client and contact information.
  • n

  • Assist with filing, scanning, document management and archiving.
  • n

  • Build and maintain effective working relationships with colleagues, clients and external contacts.
  • n

  • Provide wider administrative support as required.
  • n

  • Undertake ad hoc administrative duties and projects when required.
  • n

About Youn n

    n

  • Previous experience as a PA or Executive Assistant.
  • n

  • Previous litigation experience is essential.
  • n

  • Excellent organisational and time-management skills.
  • n

  • Strong attention to detail and a high level of accuracy.
  • n

  • The ability to manage competing priorities and work effectively to deadlines.
  • n

  • Excellent written and verbal communication skills.
  • n

  • A proactive and flexible approach.
  • n

  • Strong IT skills and confidence using Microsoft Office and other business systems.
  • n

  • The ability to work independently while also contributing effectively to a wider support function.
  • n
