Overview
In this role you lead the Project Coordinator function within HDR’s Building Engineering team to build capability, capacity, and consistent standards across coordination activities. You manage and develop a small team, plan capacity, and uphold governance and quality in outputs so Project Managers can focus on delivery. You drive continuous improvements to tools, templates, and workflows and promote effective use of PMIS and M365 for collaboration and reporting. You engage with clients and internal stakeholders to support governance, risk management, and timely decision-making, with delivery in line with programme and budget constraints. Responsibilities
- Lead, coach and develop a team of Project Coordinators including performance management and onboarding
- Plan and manage team capacity and utilisation across projects
- Set and maintain standards for project coordination outputs and continuous improvement of templates
- Escalation point for coordination issues and blockers with Project Managers and other functions
- Promote compliance with policies and project governance requirements
- Champion PMIS and M365 tools for document management and reporting
- Coordinate project administration across lifecycle and support governance and decision-making
- Track progress and highlight risks/issues to deliver within programme and budget constraints
- Perform other duties as needed
Key requirements
- Bachelor’s degree or equivalent experience
- Experience in project coordination/administration in consultancy, engineering, construction, or professional services
- Experience leading or supervising a small team
- Strong leadership, organizational and multitasking abilities
- Excellent stakeholder management and communication skills
- Attention to detail with document management and version control
- Proficiency with Microsoft 365 (Teams, SharePoint, OneDrive, Outlook, Excel, Word, PowerPoint) and willingness to learn project systems/tools
- Proactive, solutions-focused approach and accountability
- Strong written and verbal communication including minute taking
- Commitment to employee-owned culture
- Ability to manage proposals, contracts, client relationships for EPC projects
