Overview

In this role you will oversee the sales operations function for a global organization in the grain and food commodities sector. You will coordinate documentation, logistics, credit control, and client/supplier negotiations to ensure smooth contract execution. You will lead administrative processes, share system knowledge, and mentor junior staff to boost efficiency. A key focus is strengthening cross‑functional collaboration and maintaining robust trade and payment controls. This is a strategic role with impact on execution, risk management, and operational excellence.

Responsibilities

  • Manage sales administrative operations for documentation, logistics, credit lines, and payment schedules; communicate with clients and suppliers and resolve disputes; oversee reporting and allocate work among admin staff
  • Execute operations for contracts across rice, grain, and beat seeds; settle payments and handle issues through constructive negotiations
  • Implement and manage credit control procedures to monitor overdues and assist issue resolution
  • Collaborate with sales, corporate departments (LPC, logistics, accounting & finance) to optimize business processes
  • Share and train staff on internal systems (ECC, SAP, PRISM, STC, MGM) to improve efficiency
  • Educate new and junior administrative staff; provide leadership within the department
  • Archive information management for audits and knowledge transfer
  • Coordinate administrative tasks (travel, conferences, memberships, service provider contracts) and allocate them among staff
  • Support General Manager with sales and customer records; provide market data for UK and EU as requested
  • Temporary duties as secretary to EMEA Foods Division ROO
  • Build and maintain relationships with internal teams and external food industry partners

Key requirements

  • Experience as a senior Sales Operation Administrator or similar (5–10 years)
  • Advanced MS Office and SAP knowledge; familiarity with internal systems (ECC, PRISM, STC, MGM)
  • Strong numerical, analytical, and credit management skills
  • Fluent communication in Japanese and English; strong written and verbal skills
  • Deep understanding of trade execution, logistics, and related legal/ tax considerations
  • Ability to work independently, multitask, prioritize, and manage pressure
  • Proven ability to build relationships with internal and external stakeholders
  • Strategic thinking with ability to plan around annual business calendar
  • Willingness to lead, educate, and mentor team members
  • Experience in vendor management and negotiating food contracts in commodities trading
