Overview

In this role you ensure accurate control, distribution and storage of project documentation to support safe, compliant delivery across multiple sites. You will work with engineering, construction and commercial teams to keep information up to date and accessible, including O&M manuals, work instructions and asset packs. You’ll operate document management systems, maintain registers and workflows, and support audits and client reviews. Responsibilities

  • Receive, log, distribute and archive project documents according to procedures
  • Maintain document registers, transmittals and audit trails across multiple projects
  • Manage naming, numbering, revision control and approval status
  • Assist engineers with preparation and formatting of technical documents
  • Produce and format O&M manuals, technical reports, procedures and asset information packs
  • Operate internal Document Management systems and apply workflows, metadata and permissions
  • Support improvements to document control processes and digital systems
  • Coordinate with clients, subcontractors and project teams to ensure access to current documents
  • Assist with handover documentation, including as-built records and O&M manuals
  • Attend weekly Document Control Team meetings
  • Ensure compliance with ISO standards (e.g., ISO 9001, ISO 19650) and regulatory obligations
  • Escalate non‑compliance to senior team members
  • Support bid, pre-construction, construction and handover documentation requirements

Key requirements

  • Experience as a Document Controller in engineering, construction or infrastructure environments
  • Ability to manage multiple documents, deadlines and priorities
  • Desirable: document control or information management certification
  • Experience using EDMS platforms and managing digital workflows
  • Excellent organisational skills and attention to detail
  • Good team player with strong communication
  • Experience working on multi-site projects
  • Experience compiling Site Operational Manuals, Information Packs, Databooks and Health & Safety Files
