Overview
In this role you will lead the reception and administration teams within a busy GP practice, ensuring smooth day-to-day operations and effective patient access. You will coordinate clinical and non-clinical rotas, support HR administration, and optimise workflows and systems. You’ll act with initiative to resolve problems and drive improvements, shaping how the front desk and admin functions support high-quality patient care. This is an influential, hands-on supervisory position in a friendly, collaborative practice.

Responsibilities
- Lead and develop the reception and administration teams, including training and day-to-day supervision
- Coordinate staff rotas (clinical and non-clinical) and ensure adequate coverage
- Oversee appointment booking, workflow management, and patient access
- Manage the practice telephone system and patient communications
- Authorize staff leave and conduct appraisals for non-clinical staff
- Support day-to-day HR administration and staff management
- Maintain key operational information (Practice Index, SystmOne home screen)
- Coordinate Significant Event Reviews and ensure follow-through
- Ensure timely and accurate processing of claims
- Improve administrative workflows (discharge reviews, GPAD, BP filing)
- Coordinate QOF recall processes and ensure deadlines are met
- Collaborate with senior management and clinical teams to continually improve operations
- Take ownership to develop reception and administration teams and processes
Key requirements
- Organised and dependable, with ability to handle competing priorities
- Confident in supervising and developing staff
- Strong ownership mindset and problem-solving approach
- Effective communicator with clinical and non-clinical colleagues
- Interest in making systems and processes work better
- Experience in staff supervision, rota management, HR processes or operational management (value noted)
- NHS/general practice experience desirable but not essential with in-practice training available
