Overview

In this role you lead a small administration team within a financial services setting, ensuring accurate, timely delivery of routine tasks and professional service. You will coach and develop staff, delegate work, and monitor performance to maintain high-quality output. You’ll own a broad set of administrative operations, including facilities, vendor management, governance, and management reporting, while supporting senior stakeholders. The position combines people leadership with hands-on administration in a regulated environment, offering impact on processes and control culture.

Responsibilities

  • Lead, mentor and develop a small administration team, set objectives, conduct appraisals and provide regular performance feedback
  • Allocate and delegate work, review output and maintain high quality and accuracy
  • Coach team members, identify development needs and address performance issues
  • Own day-to-day administrative operations and resolve issues independently
  • Manage facilities, vendors and external suppliers, including contracts, expenditure, invoices, approvals and service delivery
  • Build relationships with senior executives, employees, suppliers and stakeholders
  • Maintain administration policies, governance and internal controls
  • Identify operational risks and opportunities to improve processes
  • Prepare management information and support operational projects
  • Dplace Deputise for Head of Department across Administration and Facilities when required

Key requirements

  • At least two years’ experience managing and developing staff with performance reviews and appraisals
  • Experience in banking, financial services or another regulated environment
  • Hands-on experience in a small/medium-sized financial services organisation
  • Practical vendor, supplier and facilities management experience
  • Excellent attention to detail and high accuracy
  • Strong organisational and planning skills with workload prioritisation
  • Strong communication and stakeholder-management skills, including senior management interactions
  • Judgement and confidence to resolve operational issues independently
  • Understanding of governance, approval processes and internal controls
  • Comfort switching between people management, detailed administrative work, supplier dealings and supporting senior stakeholders
