Overview

In this role you will support the council’s democratic and decision-making processes by providing high-quality committee and executive support. You will work in a small team, ensuring meetings are well managed, compliant with the Constitution and legislation, and underpinned by solid governance arrangements. The role involves preparing agendas, minutes, and reporting, with oversight of actions and deadlines, including training and Outside Bodies coordination. This position offers an on-site, collaborative environment with a clear impact on governance quality.

Responsibilities

  • Clerk meetings, prepare agendas, reports and minutes, and ensure decisions are recorded and communicated per the Constitution
  • Provide administrative support to Executive, committees, sub-committees, Partnerships and officer/councillor groups
  • Attend meetings and represent the Service as required
  • Coordinate appointments to Outside Bodies including nominations and member contact arrangements
  • Arrange and support member training and track training records
  • Process new member starter administration
  • Promote compliance with diversity, equality policies and data protection requirements
  • Support health and safety and highlight risks in the working environment
  • Undertake other duties equivalent to role level and support equal opportunities
  • Ensure timely communication of deadlines and follow-up actions

Key requirements

  • Demonstrable experience in managing administrative support for formal committees and partnerships, with deadline adherence and confidentiality
  • Excellent organisational skills and ability to manage heavy workloads
  • Strong IT skills including familiarity with report management systems and streaming/webcasting
  • Knowledge of Mod.Gov
  • Excellent written communication for reports and minutes
  • Ability to work under pressure and in difficult emotional situations while maintaining high standards
  • Experience in member/admin processes and clerking duties
