Brook Street Recruitment is delighted to be partnering with a leading client in Newtownabbey to recruit an experienced Hire Administrator/ Receptionist to join their growing team based in Mallusk. As the first point of contact for customers, you will play a key role in ensuring the smooth coordination of daily vehicle and trailer hire operations while supporting the continued growth of the business. Key Responsibilities

  • Coordinate and manage the daily vehicle and trailer hire process
  • Handle multiple customer enquiries, bookings, deadlines, and operational requirements efficiently
  • Prepare accurate hire agreements and supporting documentation
  • Maintain up-to-date and accurate hire records and databases
  • Follow up on outstanding paperwork, charges, and customer actions
  • Welcome customers to the branch and provide assistance upon arrival and departure
  • Manage the company switchboard and direct calls professionally
  • Liaise with insurance brokers and maintain organised documentation
  • Work closely with the Hire and Operations teams to ensure a seamless customer experience
  • Scan, file, and maintain records in line with company procedures
  • Provide general administrative support as required

Essential Criteria

  • Minimum of 5 years’ experience in an administrative role
  • At least 5 GCSEs (or equivalent qualifications)
  • Excellent organisational and administrative skills
  • Proven ability to manage a varied workload and prioritise effectivelyStrong time management skills with the ability to meet deadlines
  • High level of accuracy and attention to detail
  • Proactive approach with the ability to see tasks through to completion
  • Excellent communication and interpersonal skills
  • Professional and confident telephone manner
  • Proficient in Microsoft Word and Excel
  • Ability to work independently and as part of a team
  • Capable of working efficiently under pressure while maintaining accuracy
  • Strong written and verbal English skills
