An established and well-regarded law firm based in Otley is looking to recruit an experienced Family Assistant to join its friendly and established Family Department.The position is fully office-based in Otley, and both full-time and part-time hours will be considered.The Role
Working closely with the solicitors and Head of Family, you will provide high-quality administrative and secretarial support across a busy Family Department.The role would suit someone who is organised, confident and able to work independently, taking responsibility for delegated tasks and ensuring client matters are progressed efficiently and accurately.You will be supporting matters from initial enquiry through to conclusion, while the supervising solicitors retain responsibility for all legal work.Key Responsibilities
Providing administrative and secretarial support to solicitors within the Family Department.
Opening new files and matters.
Preparing client care documentation, fee estimates and engagement letters.
Maintaining accurate electronic and physical client files.
Managing digital dictation and preparing correspondence and routine legal documentation.
Using LEAP to record and manage client information and case documentation.
Liaising with clients, courts, barristers, experts, Cafcass, local authorities and other third parties.
Preparing court bundles and hearing documentation.
Arranging appointments, conferences, hearings and meetings.
Assisting with divorce, financial remedy, children law and domestic abuse matters.
Monitoring key dates, deadlines and diary commitments.
Maintaining strict confidentiality and ensuring information is recorded accurately.
Managing delegated tasks and prioritising your own workload effectively.
Providing additional support to colleagues when workloads or staff absences require.
About You
We are looking for someone with previous experience within a law firm, ideally as a Legal Secretary, Legal Assistant or Legal Administrator.Family law experience would be advantageous, but candidates with strong legal support experience in another area of law will also be considered.You will need to be:Highly organised with excellent attention to detail.
Confident working independently and with minimal supervision.
Able to manage competing priorities within a busy department.
Professional and confident when dealing with clients and external contacts.
Comfortable handling sensitive and confidential information.
IT literate, with experience of a legal case management system desirable.
A strong communicator and team player.
Committed to providing an excellent level of client service.
Experience of LEAP would be particularly advantageous, although training can be provided for the right candidate.This is an important part of the firm’s approach and would suit someone who is looking to build a long-term career within a local, established practice.
