Overview

In this role you will support documentation governance and SharePoint site management within a multidisciplinary Building group. You will coordinate technical documents, maintain filing structures, and enable effective knowledge sharing through SharePoint and LMS tools. You will also assist with industry outreach, marketing collaboration, and staff training development. This position offers impact by strengthening information flows and enabling cross-functional teams to work efficiently and securely.

Responsibilities

  • Coordinate technical documentation with service area managers and leadership; develop and format working documents and migrate to SharePoint or other locations
  • Develop, organize, and manage Technical SharePoint sites including page content, permissions, and announcements; ensure libraries are well-structured with metadata and mapping to local servers
  • Support industry outreach and marketing activities, track conference opportunities, and manage abstracts and whitepapers
  • Collaborate on training development and delivery with SMEs, Leadership, and Learning & Organizational Development; manage onboarding training, webinars, and attendance
  • Extract bi-weekly new hire reports; assign training modules; coordinate internal webinars; record and edit technical webinars
  • Collaborate on curriculum design, LMS attendance records, and maintain training catalogs and certificates
  • Assist with archival processes, document versioning, and adherence to branding standards
  • Provide support for confidential information handling and interactions with management and external vendors
  • Maintain time management and organizational processes to ensure timely delivery of documentation and training materials
  • Support staff with continuing education credits and issuance of certificates (Architectural CE)

  • Basic understanding of construction terms and processes
  • Proficiency in MS Office Suite (Word, PowerPoint, Excel, Teams)
  • Experience with Microsoft SharePoint or other document management platforms
  • Experience with Learning Management Systems such as TalentHub or equivalent
  • Experience with video production software (Adobe Premiere Pro or TechSmith Camtasia) is preferred
  • Experience with e-learning authoring tools such as Articulate 360 Storyline, Rise, or equivalents is preferred
  • Degree in Business Administration / Management or an equivalent combination of experience
  • 5+ years of administrative experience
