Spanish-speaking Family PA/Executive Project Coordinator – London, Surrey and International Locations
Our client is seeking a highly organised, proactive and capable Spanish-speaking Family PA/Executive Project Coordinator to support across both personal and project-based responsibilities for the family.
This is a fast-paced role requiring someone who can genuinely stay ahead of things – anticipating needs, preempting problems, and managing multiple moving parts at once – rather than simply reacting to instructions.
The role will be predominantly based in West London, with regular involvement at the family’s polo estate in Surrey, and coordination with international properties.
Responsibilities include
- Full diary and lifestyle management for the Principals Hybrid working, with in-person meetings when needed Managing travel and complex itineraries (UK and international)
- Coordinating multiple projects, including property renovations and decorating
- Liaising with contractors, suppliers, and overseeing timelines
- Managing budgets, paying bills and overseeing accounts
- Liaising with accountants and lawyers, and managing tax-related administration
- Supporting polo-related logistics and events, including attending meetings in Surrey with architects and groundsmen
- Overseeing the London household and liaising with existing staff
- Coordinating with the Ibiza property team/House
- Manager Sourcing items, researching suppliers, and supporting creative projects
- Managing school-related administration for two children
- Providing ad hoc support to extended family
- Maintaining a database of contacts for events, accounting software, the polo team, and other key relationships
- Acting as a face of the family in various situations, including with employees and external contacts
Requirements
- Proven experience as a PA within a UHNW household or family office Hybrid working, with in-person meetings when needed
- Proactive, fast-paced and able to anticipate needs rather than wait for instruction
- Flexibility required, including willingness to reply to emails over weekends or outside working hours when needed
- Confident managing multiple projects simultaneously and able to see the bigger picture
- Excellent communication and stakeholder management skills, comfortable across a range of social settings Strong command of English, Spanish speaking would be a strong advantage
- Flexible, adaptable, hands-on and fully committed to the role
- Discreet, trustworthy and emotionally intelligent
- Confident enough to constructively manage and organise a busy, creative Principal
- Own car and driving would be a strong bonus

- Working Hours: Monday to Friday, 9am – 6pm
- Salary Offered: up to £65,000 gross per annum
- Start Date: ASAP
