Overview
In this role you will manage and safeguard project documentation within the Information Management System, ensuring accuracy, versions, and secure access. You will support project teams by organizing physical and digital records, creating templates, and preparing regular and ad-hoc reports. You’ll liaise with internal stakeholders and external parties while upholding confidentiality and compliance with standards. This position sits at the intersection of project delivery and information governance, enabling smoother collaboration and traceability across programs. You will contribute to a culture of secure, efficient documentation that underpins project success.

Responsibilities
- Set up, copy, scan, and store documents
- Create templates
- Manage requests for documentation
- File documentation in physical and digital records
- Maintain document versions and accessibility of latest versions
- Review and update records for accuracy
- Ensure compliance with standards and requirements
- Liaise with project team and external parties to distribute information securely
- Manage documentation processes within the organization
- Maintain confidentiality of sensitive documentation
- Prepare regular and ad-hoc project reports
- Train team members on document management processes and systems
Key requirements
- Excellent communication and interpersonal skills
- Familiarity with project management
- Hands-on experience with SharePoint, MS Office and MS Excel; familiarity with other DMS tools
- Working knowledge of major Common Data Environments and Information Management Systems
- Proficient typing and editing skills

- Proven work experience as a Document Controller or similar role
