Join Our Growing Projects Team
We’re looking for a highly organised and proactive Projects Coordinator to join our Projects Delivery South team in Gillingham.
This is an exciting opportunity for someone who enjoys working in a fast-paced environment, balancing project coordination with engineer scheduling and diary management. You’ll play a vital role in ensuring projects are set up efficiently, resources are planned effectively, and Project Managers have the support they need to deliver an excellent service to our customers.
No two days are the same. One day you could be coordinating engineering resources across multiple projects, and the next you might be supporting project administration, liaising with customers, managing documentation, or helping to keep projects on track and on budget.

What You’ll Be Doing
As a Projects Coordinator, you’ll support the delivery of projects from inception through to completion, with a particular focus on engineer scheduling and resource coordination.
Your responsibilities will include:
- Coordinating engineers’ schedules, appointments and labour allocation across multiple projects.
- Managing diary changes, rescheduling requests and last-minute cancellations.
- Matching engineers to jobs based on skills, experience and project requirements.
- Monitoring resource availability and helping to maximise operational efficiency.
- Supporting Project Managers with project setup, administration and coordination activities.
- Converting accepted quotations into live projects and ensuring information is accurately transferred between teams.
- Raising client order acknowledgements and supporting project documentation processes.
- Ordering project materials, equipment and subcontractor services.
- Assisting with project invoicing and maintaining accurate project records.
- Supporting document control processes, including RAMS and project-related paperwork.
- Acting as a key point of contact between engineers, Project Managers, customers and other internal stakeholders.
- Helping to ensure projects progress smoothly, efficiently and in line with customer expectations.
What We’re Looking For
We’re looking for someone who is organised, adaptable and enjoys working in a busy operational environment.
Ideally, you’ll have:
- Experience in a project coordination, scheduling, administration or operations support role.
- Previous experience managing diaries, schedules or workforce planning activities.
- Excellent organisational skills and the ability to manage competing priorities.
- Strong attention to detail and a high level of accuracy.
- Good Microsoft Office skills, particularly Excel, Outlook and Word.
- Excellent communication and relationship-building skills.
- A professional, customer-focused approach.
- The ability to remain calm under pressure and adapt to changing priorities.
It Would Be Great If You Also Have
- Experience using SimPRO or similar job management software.
- Experience within the fire, security, engineering, construction or building services sectors.
- Knowledge of RAMS and project documentation processes.
- An understanding of compliance requirements within a technical service environment.
