*ROLE CONTEXT*

Global Group Corp. and its associated Group businesses are involved in the coordination and delivery of complex international development, infrastructure, engineering and masterplanning programmes. These assignments can involve government authorities, programme managers, designers, planners, economists, survey and geospatial specialists, engineering consultants, contractors and other technical advisers operating across multiple jurisdictions and time zones.

The volume, sensitivity and technical complexity of project information requires a disciplined and auditable approach to document control and information management. The role will support the wider Group portfolio and may be deployed across different projects, business units and geographies in response to programme requirements.

*ROLE PURPOSE*

The Document Controller and Information Manager will take ownership of the day-to-day information management and document control environment across assigned Group programmes. The role will establish, operate and continuously improve the systems, procedures, workflows and controls required to ensure that project information is appropriately classified, secure, current, traceable and available to authorised users.

This is a hands-on project delivery role rather than a purely administrative position. The successful candidate will be expected to configure and manage Common Data Environments, including Aconex where applicable; produce project procedures and registers; coordinate formal information exchanges; monitor review and approval workflows; support users; audit compliance; and provide clear reporting to project leadership.

*KEY RESPONSIBILITIES *

· Own document control and information management arrangements across assigned projects from mobilisation through delivery and close-out.

· Establish, configure and administer project Common Data Environments, including Aconex where applicable, with appropriate workflows, permissions, access controls, metadata, status codes and distribution groups.

· Develop and maintain project-specific document control and information management procedures covering document numbering, naming conventions, revision control, status, review, approval, transmittal, supersession, archiving and controlled issue.

· Create and maintain master document and deliverable registers, ensuring that required submissions, planned issue dates, review status, approvals and final issue positions are visible and auditable.

· Manage formal incoming and outgoing project correspondence, transmittals, technical submissions, reports, drawings, schedules, registers and other controlled information.

· Check consultant and contractor submissions for completeness, numbering, metadata, revision status, document status and compliance with agreed project protocols before formal acceptance into review workflows.

· Coordinate document review and approval workflows, route information to the correct reviewers, monitor response dates and escalate overdue or blocked reviews to the relevant project lead.

· Maintain clear control of current, superseded and withdrawn information so that project teams can readily identify the latest approved or accepted version.

· Support programme management by linking information status to key activities, deliverables, approvals and milestones, and by highlighting information constraints that may affect progress.

· Maintain structured registers for RFIs, actions, decisions, comments, approvals, correspondence, deliverables and other information-management controls as required by each project.

· Support multilingual and translated document workflows where applicable, maintaining traceability between source documents, translated versions, reviews, revisions and authorised issue.

· Provide regular reporting and dashboards covering information status, overdue reviews, outstanding responses, deliverables, approvals, RFIs and other agreed information-management KPIs.

· Undertake periodic audits of project information, identifying missing records, duplicated information, poor metadata, uncontrolled documents, incorrect revisions or other non-compliance.

· Lead practical onboarding and user support for Group staff, consultants, contractors and other authorised project stakeholders using the Common Data Environment.

· Prepare concise user guides, workflow diagrams and quick-reference instructions so that information-management requirements are understood and applied consistently.

· Support the mobilisation of new projects by establishing templates, registers, project mail structures, access permissions, information classifications, distribution lists and baseline controls.

· Support project close-out and handover, including structured archives, final deliverables, record information, document indexes and transfer of controlled information to the client or relevant operating body.

· Work closely with programme management, project management, commercial, planning, technical and administrative teams to ensure information-management arrangements support the wider delivery strategy.

*INFORMATION GOVERNANCE AND QUALITY*

· Maintain a clear and defensible audit trail for formal project information, decisions, approvals and submissions.

· Apply agreed confidentiality, access and information-security controls, particularly where information relates to government bodies, commercially sensitive matters or strategic development programmes.

· Promote consistent information-management standards across Group projects while allowing proportionate project-specific procedures where required.

· Support compliance with client requirements, contractual information obligations and recognised information-management principles, including ISO 19650 where applicable.

· Identify information risks early and escalate issues that could affect programme, approvals, payment, change control, technical coordination or project governance.

*KEY INTERFACES*

· Group project and programme leadership.

· Client and government-side project representatives.

· Programme managers and project managers.

· Urban planning, design, engineering, infrastructure, economics, survey, GIS and specialist technical consultants.

· Commercial and contract administration teams.

· Contractors, suppliers and fieldwork providers where relevant.

*ESSENTIAL EXPERIENCE*

· Strong experience in document control and/or information management on complex construction, infrastructure, engineering, masterplanning or major programme environments.

· Practical Aconex experience, including document registration, mail, workflows, permissions, distribution, reporting and user administration.

· Experience working within Common Data Environments and managing controlled information across multidisciplinary consultant teams.

· Experience preparing and maintaining document control procedures, registers, workflows, matrices, dashboards and project reporting.

· A clear understanding of version control, revision management, status coding, metadata, approval workflows, information security and audit trails.

· Experience supporting projects with formal client, consultant and contractor interfaces and high volumes of technical information.

· Strong Microsoft 365 capability, particularly Excel, Word, Teams and SharePoint.

· Excellent written English and a high level of accuracy and attention to detail.

*DESIRABLE EXPERIENCE*

· Experience mobilising or configuring projects in Aconex or comparable enterprise project information-management platforms.

· Working knowledge of ISO 19650 and structured information-management principles.

· Experience on major international or government-led programmes, particularly in the Middle East and/or North Africa.

· Experience coordinating information across geographically dispersed, multi-consultant and multi-stakeholder teams.

· Experience managing bilingual or translated technical documentation and related review workflows.

· Arabic language capability is advantageous but not essential.

*QUALIFICATIONS*

· Relevant qualification in information management, document control, construction, project management, engineering, business systems or a related discipline; or equivalent demonstrable professional experience.

· Relevant information-management, Aconex or document-control training/certification would be advantageous.

· A clear, usable and auditable information environment is in place across assigned projects.

· Project teams can identify the current status, owner, reviewer and approval position of key information without relying on informal email trails.

· Deliverables, reviews, approvals and decisions are traceable against project programmes and governance requirements.

· Document quality and metadata compliance remain consistently high, with overdue reviews and information bottlenecks visible early.

· New team members and external consultants can be onboarded quickly using clear procedures, templates and guidance.

· Project close-out information is complete, structured and capable of formal handover without retrospective reconstruction of the project record.
