Overview

In this role you will manage and safeguard project documentation throughout its lifecycle to ensure accuracy, accessibility, and compliance. You will operate within a cross‑functional team, aligning with governance, quality, and information management standards. Your work enables project teams and external partners to access timely, well‑structured documentation. This position supports major national projects and complex, safety‑critical programmes at scale.

Responsibilities

  • Establish and maintain document control processes and metadata standards
  • Receive, register, track, and distribute project documentation
  • Ensure correct formatting, version control, and storage in EDMS/systems
  • Oversee document workflows with timely reviews, approvals, and close outs
  • Maintain and administer EDMS (Aconex, Asite, Viewpoint, SharePoint, BIM 360) and support user access
  • Conduct document quality checks and ensure compliance with standards and regulatory requirements
  • Prepare reports on document status, compliance, and system metrics
  • Act as central point of contact for document control and liaise with project managers, engineers, contractors, and stakeholders
  • Support project start-up/close-out documentation and handover packages
  • Assist with information management strategies and continuous improvement initiatives
  • Monitor deliverables against schedules and escalate delays
  • Support change control by reflecting approved changes in documentation
  • Organise assurance processes and provide governance/board reporting
  • Contribute to tracking project benefits and their realisation stages
  • Participate in reviews and implement recommendations related to documentation governance

Key requirements

  • Proven experience as Document Controller or Information Management professional
  • Strong understanding of document control in construction, engineering, or major projects
  • Proficiency with EDMS platforms (Aconex, Asite, Viewpoint, BIM 360, SharePoint)
  • Excellent organisational skills and attention to detail
  • Ability to manage high volumes of documents under tight deadlines
  • Strong communication skills and ability to work with multi-disciplinary teams
  • Familiarity with quality assurance and information governance requirements
  • Experience on large construction, rail, infrastructure, or engineering projects is advantageous
