Overview

In this role you will provide proactive administrative support to the Property Asset Management team, ensuring smooth operations in a busy department. You will coordinate stakeholder interactions, meetings, and events, while assisting with financial admin, marketing materials, and IT liaison. You’ll work closely with senior stakeholders and cross-functional teams to uphold compliance, document management, and process efficiency. This is an opportunity to contribute to PAM’s client-focused services and cross-team collaboration at Knight Frank’s head office.

Responsibilities

  • Provide admin support to Portfolio, Client Accounting and ESG teams within PAM
  • Coordinate internal/external meetings and events
  • Act as ambassador for the team and build relationships with clients and stakeholders
  • Support financial administration (invoices, WIP reconciliation, debtor reporting, expense claims)
  • Attend team meetings, take minutes, track actions
  • Manage diaries, meeting rooms, travel arrangements
  • Prepare marketing materials and stakeholder communications
  • IT liaison and troubleshooting support
  • Support due diligence processes (CDD, KYC, conflict checking)
  • Onboard new starters and assist leaver processes
  • Coordinate appraisal and performance review schedules
  • Share best practices with wider business support network
  • Support audit, compliance and risk management activities with Best Practice team
  • Maintain records and document management systems
  • Ensure management agreements and Duty of Care documentation are stored correctly
  • Assist with property management systems setup and inspections
  • Coordinate marketing and communications activities
  • Coordinate pitch submissions and events
  • Contribute to departmental initiatives and projects

Key requirements

  • Minimum of 2 years in administrative, team assistant, operations or business support role
  • Strong organizational skills with ability to manage multiple priorities
  • Excellent written and verbal communication
  • Proactive, professional and solution-focused
  • Experience supporting senior stakeholders in a fast-paced environment
  • High attention to detail and administrative accuracy
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to build relationships across teams and with external stakeholders
