Overview

In this role you will safeguard project information across the Green Quarter development by running high-standard document control and EDMS practices. You will work with site teams, external consultants, and stakeholders to track drawings, manage revisions, and produce regular progress reports. Your focus on accuracy and process discipline supports timely handovers and compliant project delivery in a collaborative, design-led company. This position offers an opportunity to shape how information flows across a major regeneration project and to train colleagues in best practices.

Responsibilities

  • Manage and track design information within the project EDMS
  • Review and update roles, permissions, and security access for internal and external users
  • Coordinate and distribute technical drawings, track document status, and follow up on outstanding tasks
  • Escalate unresolved document issues to senior managers
  • Ensure quality control of published documentation, checking revisions, references, and titles
  • Address EDMS queries from stakeholders and provide regular status reports on document progress, delays, and RFIs
  • Act as the Viewpoint subject expert, training colleagues and enforcing clear protocols
  • Manage Viewpoint information requests and maintain key trackers (DCNs, consultant appointments, insurance, and handovers)
  • Oversee document control processes, including uploading, distributing, and maintaining accurate records
  • Support site teams and stakeholders with EDMS onboarding and registration
  • Generate Field View reports, provide QA sheets, and support Field View administration
  • Produce reports on query and RFI response times using EDMS tools and Excel
  • Work collaboratively with external consultants to ensure compliance with standards
  • Manage O&M documentation, liaising with clients and O&M providers for handover coordination
  • Oversee stakeholder folders on EDMS for clients, legal teams, and housing associations
  • Track and coordinate NCRs with trade contractors to ensure resolution
  • Assist with SharePoint management for internal stakeholders

Key requirements

  • Experience within Document Control, EDMS or similar project information environment is desirable
  • Experience supporting digital document and information workflows across multiple projects
  • Strong administrative and organisational experience with good record-keeping skills
  • Experience supporting project teams and providing system guidance or training is desirable
  • Experience with FieldView and Viewpoint for Projects would be advantageous
  • Good attention to detail and a methodical approach to document and information management
