Overview
In this role you will provide proactive legal and administrative support to partners, associates and the wider practice group in a fast-paced international environment. You will manage complex diaries, coordinate cross-time-zone meetings, and arrange travel while upholding confidentiality and professional standards. You will prepare and format documents using firm templates and ensure accurate, client-focused service. This position offers exposure to senior stakeholders and requires strong organisation, discretion and reliability within a high-performing team.

Responsibilities
- Provide proactive administrative and practice support to partners, associates and fee earners
- Manage complex diaries, meetings, deadlines and reminders across time zones
- Coordinate meetings across multiple time zones, including US and international offices
- Arrange domestic and international travel, itineraries and related logistics
- Prepare and format legal documents using firm templates and house style
- Support document and matter-related tasks including mark-ups, red-lining, PDF conversion and electronic filing
- Liaise with clients, counsel, courts, vendors and internal stakeholders professionally
- Maintain discretion and confidentiality in handling client and matter information
- Assist with opening/closing client and matter files, conflict checks and onboarding
- Maintain electronic and physical files and ensure timely filing
- Assist with time-entry reminders and billing processes
- Support business development activities such as pitches and client presentations
- Collaborate with finance, IT, HR, marketing and other service teams to deliver high-quality support
- Work with peers to provide cover during busy periods
- Use firm systems for document management, time recording, expenses and workflows
- Follow policies on confidentiality, data protection and information security
- Demonstrate professional behavior aligned with SRA regulations and standards
- Perform other related administrative tasks as required
Key requirements
- Previous legal administrative support experience in a law firm or professional services
- Strong organisational skills and ability to manage multiple deadlines and priorities
- Excellent attention to detail and accuracy
- Professional, calm and client-focused written and verbal communication
- Ability to prioritise, use initiative and work with minimal supervision
- Confidence supporting senior stakeholders in a demanding environment
- Strong teamwork and flexibility, willingness to cover for colleagues
- Absolute discretion and integrity with confidential information
- Resilience and ability to work at pace while maintaining quality
- Strong technical skills in Word, Outlook, Excel, PowerPoint, document management systems and time recording systems
- Experience with Litera and applying firm house styles is desirable
