Overview
In this role you support the South Kensington Lettings Team by delivering seamless operations and an excellent client experience. You will act as a bridge across offices, compliance, and administration to keep property records accurate and processes efficient. You’ll enable smooth onboarding, reporting, and coordination with internal and external partners while upholding data security and sustainability practices. Responsibilities
- Deliver exceptional internal and external customer experiences across interactions
- Assist with calls, welcome clients, and gather accurate information
- Keep the office tidy and support reception
- Support Customer Experience initiatives and improve customer journeys
- Refer clients to Knight Frank services and the Global network
- Maintain and create property records and instructions in inhouse systems
- Ensure HUB records are current and accurate
- Arrange land registry title checks and confirm ownership
- Create template letters and forms (marketing reports, terms, etc.)
- Coordinate EPCs, photos, and floorplans with external suppliers
- Handle portal enquiries and relocation corporate searches as needed
- Prepare reports for weekly, monthly, and ad hoc meetings
- Terminate tenancies when instructed
- Assist with KYC/CDD, compliance, and best-practice standards
- Process monthly EPC and R2R reports
- Code contractor invoices and manage accounts-related tasks
- Monitor Power BI reporting and manage office safety and information security
- Follow GDPR, data/IT security policies and maintain key storage records
- Coordinate safety checks and third-party works, and support refurbishments and relocations
- Apply ISO knowledge in the office and communicate health & safety protocols to new starters
- Participate in onboarding and training, and help roll out new initiatives and projects
- Create and update local marketing materials and listings
- Manage marketing platforms and comply with guidelines and deadlines
- Support sustainability target setting with Health and Safety team
- Collaborate with broader teams to support offices as required
- Assist with supplier and vendor coordination and documentation
Key requirements
- 3+ years in a similar operations, administration, or secretarial role
- Proficient with Microsoft Office
- Flexibility and cooperative attitude

- Excellent English grammar and spelling
- Diligent, efficient, and detail-oriented
- Self-motivated and team player
- Familiarity with KF systems (Working Life, HUB, QUBE, Global Life, NorthRow)
- Experience with land registry checks and tenancy administration
