Overview
In this office-based role at the London head office, you will support the Operations Director and the Operations team by coordinating customer service, admin, scheduling, and stock management. You will lead a team of around 15 mobile operatives, oversee client communications, and ensure timely, efficient daily operations. The role involves preparing files for new contracts, handling payroll/billing paperwork, and maintaining H&S documentation. Responsibilities
- Manage the Customer Service system and respond to client inquiries
- Support Operations Department and Operations Director
- Organise, plan and schedule all one-off jobs
- Plan daily/weekly schedules for mobile teams
- Manage store room, stock levels, and procurement of consumables
- Assess equipment and materials for special jobs
- Supervise a team of ~15 mobile operatives (schedules, absences, wages)
- Greet visitors, manage deliveries, and oversee utility room activities
- Prepare site folders and paperwork for new contracts
- Liaise with clients and manage SRM system
- Weekly paperwork for billing and payroll
- Inspect and manage company vans and fleet
- Attend management meetings and liaise with suppliers
- Support operations during holidays and manage security/H&S paperwork
Key requirements
- 3+ years of cleaning management experience
- Excellent planning, organisational and prioritisation skills
- Autonomous work style with ability to adapt to rapid change
- Excellent telephone manner
- IT literate (Mac and PC) and good knowledge of Microsoft Office
- Ability to meet deadlines and maintain attention to detail
- Strong interpersonal skills and a professional demeanor
- Numeracy and literacy to a good level
- Flexible with working outside core office hours
- Spanish and/or Portuguese language skills advantageous
