Sales and Administration Coordinator – Interior Design – Fulham
This boutique luxury textiles company in Fulham is looking for a proactive, hardworking, enthusiastic Administrator to support the sales team and help the MD. They are a small, close-knit team and it is a wonderful environment to work in. They need someone in the office 5 days a week, who enjoys helping out wherever they are needed and with some experience within an office.
It would suit someone organised and dependable who takes pride in doing things properly, enjoys a varied day and wants to work somewhere small enough that their contribution is visible.
Key responsibilities
Order administration
- Process orders from receipt through to delivery, checking specifications, quantities and pricing before they go to production
- Raise and issue quotations and invoices
- Track order progress and keep clients updated on lead times and delivery dates
- Liaise with production and logistics to resolve delays or discrepancies
- Maintain accurate records in our systems, including client details, order history and pricing
Client service
- Act as the first point of contact for incoming enquiries by telephone and email, responding promptly and passing on genuine sales opportunities to the sales team
- Handle straightforward client questions independently – stock availability, delivery timing, care instructions, reorders
- Manage aftercare, including returns, replacements and any quality issues
Sales support
- Prepare presentation materials, price lists and project documents for client meetings
- Keep the client database current, including contact records and follow-up notes
- Help coordinate trade events, client visits and marketing mailings
Support to the MD
- Manage the MD’s diary, including client meetings, supplier visits and travel
- Arrange travel and accommodation, and prepare itineraries
- Draft and format correspondence, presentations and documents
- Prepare papers and follow-up actions for meetings, and keep track of what has been agreed
- Handle expenses, purchase orders and supplier invoices, and liaise with our bookkeeper or accountant as needed
- Take on ad hoc projects and research as they arise
About you:
Essential
- Some administration, customer service or order processing experience
- Meticulous attention to detail
- Confident written and spoken English, and comfortable dealing directly with clients
- Well organised, able to hold several jobs at once and see each one through
- Competent with Excel, email and order or stock systems, and quick to pick up new ones
- Happy working in a small team where everyone does a bit of everything
Desirable
- Experience in interiors, textiles, luxury goods or another premium product business
- Familiarity with selling to interior designers, architects or the trade
- Experience with a CRM or order management system
- An eye for presentation and an interest in design
Salary: £28-32k
