Job Description:

  • Maintain accurate, up-to-date and confidential pupil records relating to learning support, access arrangements, specialist assessments and SEND provision.
  • Manage departmental information systems, databases and electronic filing systems, ensuring information is organised, accurate and readily accessible.
  • Prepare reports, spreadsheets, meeting papers and data summaries to support departmental planning, tracking and decision-making.
  • Collate, check and organise pupil information from a range of sources to support reviews, referrals, assessments and strategic analysis.
  • Coordinate departmental calendars, appointments and meetings, including room bookings, invitations, agendas and documentation.
  • Take minutes and maintain action records for meetings as required.

Access Arrangements and Examination Support

  • Coordinate the collection, organisation and maintenance of evidence required for access arrangement applications and annual reviews.
  • Liaise with teaching staff to obtain and update evidence relating to pupils’ normal way of working.
  • Maintain accurate records relating to examination access arrangements and support annual compliance processes.

EHCP and SEND Administration

  • Coordinate the administration of Education, Health and Care Plans (EHCPs), including annual reviews, paperwork preparation and record management.
  • Prepare and collate documentation required for annual reviews, consultations and local authority requests.
  • Monitor key deadlines and ensure timely completion and submission of required documentation.
  • Support the maintenance of accurate records of support provision, interventions and SEND-related communications.

Referral and External Agency Support

  • Support referrals to external professionals and agencies through the preparation and collation of relevant documentation.
  • Track referrals and maintain records of outcomes and recommendations.
  • Act as a point of contact for routine communications with external agencies, parents and staff.

Departmental Support and Other Duties

  • Support the implementation and monitoring of learning support provision and intervention programmes.
  • Assist in preparing accessible and alternative learning resources where required.
  • Provide general administrative support to the Learning Support Department.
  • Undertake other duties reasonably required by the Head Master, Head of Learning Support or Director of Academic Inclusion.
  • The postholder may occasionally provide basic classroom support cover where required to support the effective operation of the department.
