More detail about the role The role involves working across multiple Trust systems and databases; therefore, candidates must be confident using Microsoft Office applications and able to learn new systems quickly and effectively. Your duties will include:

  • Acting as the first point of contact for Estates and Facilities Helpdesk enquiries via telephone, email and face-to-face contact.
  • Providing reception cover at the Centre for Women’s Health, greeting and assisting patients, visitors and staff in a professional and courteous manner.
  • Providing support and guidance to staff accessing Estates and Facilities services, answering enquiries and signposting requests to the appropriate teams where required.
  • Managing multiple enquiries and priorities simultaneously, ensuring all requests are dealt with accurately and within required timescales.
  • Maintaining accurate records and ensuring information is updated in line with Trust policies and procedures.
  • Producing routine reports and supporting the administration of Estates and Facilities services.
  • Providing administrative support across a range of service areas including: Car Parking and Travel ID Cards, Access Control, Estates Services, Lockers, Room Bookings.
  • Ensuring established processes and procedures are followed consistently and accurately.

This is a challenging and rewarding role within a busy, customer-focused environment. No two days are the same, and the successful candidate will be required to balance a variety of enquiries, reception duties and administrative tasks whilst maintaining excellent customer service. For the right candidate, this role provides an excellent opportunity to gain experience within the NHS and develop a broad understanding of Estates and Facilities services, offering a strong foundation for future career progression within the Trust.

About You

We are looking for someone with excellent customer service and communication skills who enjoys helping people and solving problems. You will be organised, adaptable and able to manage a varied workload in a fast-paced environment. The successful candidate will have:

  • Experience of working in a busy administrative, helpdesk, reception or customer service environment.
  • Strong telephone, face-to-face and email communication skills.
  • Excellent organisational and multitasking skills, with the ability to manage competing priorities effectively.
  • Good attention to detail and accurate data entry skills.
  • The ability to prioritise competing demands and work effectively under pressure.
  • Strong working knowledge of Microsoft Office applications, including Outlook, Word and Excel.
  • Confidence in learning and using new systems, with the ability to quickly adapt to a range of Trust applications and databases.
  • A proactive approach and commitment to delivering excellent customer service.

Working Pattern

Monday to Friday 0800-1600, 1200-2000
