We’re looking for an exceptional Facilities Management Co Ordinator to help us make a difference to our planet.

As our Facilities Management Co Ordinator, the job may be suitable for hybrid working, which is where an employee works part of the week in the office and part of the week from home.This is a voluntary, non-contractual arrangement and the location advertised will be your contractual place of work.

Your world of expertise

You will assist the Facilities Manager in managing all facilities management related activities to ensure that workplaces and the environment remain suitable for all occupants to stay safe and thrive. You will support all aspects of day-to day hard and soft facilities management services, including contract and supplier management, in addition to the planning and delivery of an extensive maintenance/minor works programme acting as the key customer interface

  • Scheduling Planned Preventative Maintenance (PPM), reactive maintenance and minor works to support and maintain statutory compliance obligations for Hard FM services for both Exeter HQ and Frontline sites
  • Scheduling Grounds Maintenance – supporting sites across the UK
  • Support the day to day management of cleaning, waste, MFD Printers, mobile telephony contracts and suppliers across Exeter HQ and Frontline sites
  • Support the management of the Catering, vending & staff shop at Exeter HQ
  • Reviewing, updating, recording works on internal systems such as CAFM (Computer Aided Facility Management) Asset system
  • Reviewing and progressing work requests and orders, and subcontractor quotes for approval
  • RAMS review and liaison with technical team for approval
  • Purchase Orders – raising, progressing and receipting POs
  • Invoices – approval and processing for payment
  • Stakeholder and contractor / subcontractor liaison for attendance, work requirements etc – complex and varied for frontline sites
  • Internal property team liaison with estates, technical and FM team
  • Reviewing and updating the FM Manuals
  • Identify, consult and advise on changes to administrative working practices in the wider Property Team to enhance service delivery and reduce Corporate risk.

As our Facilities Management Co Ordinator, your total reward package will be up to £40,524 annually, which includes:

  • An outstanding Civil Service pension, with an average employer contribution of 28.97%
  • Annual Leave starting at 27.5 days (plus Bank Holidays) rising to 32.5 days (plus Bank Holidays) after 5 years and option to buy or sell up to 5 days per year of annual leave

Essential Criteria, skills and experience:

  • Experience of working in a role with varying FM compliance responsibilities.
  • Excellent organisational skills along with customer & relationship management skills
  • Experience of corporate financial and procurement processes including identification of cost reduction / efficiency programmes.
  • Possess or working towards Associate level membership of relevant professional body e.g. IWFM Level 2/ 3 as a minimum.

Our typical recruitment process

5. Assessment

Some roles may require you to attend an assessment day. Any job-specific assessments will be outlined in the job advert and more details will be provided at the interview stage.

6. Offer

If you are successful following the interview, the hiring manager will contact you to offer the role. The Resourcing Team will then follow up with an offer letter and start your onboarding.

7. Onboarding

Before we can confirm a start date, we will first need to complete security clearance and reference checks. These usually take between eight to ten weeks to complete. We’ll also discuss any workplace adjustments that you may need. So they are in place on your first day.

On your first day your new manager will introduce you to the team and you’ll start our online corporate induction. You’ll also be asked to update your details in our People Hub system including bank details ready for your first pay day.

For those living outside of the UK, there are some roles where we can sponsor Skilled Worker visas. However, you will need to pass security clearance which requires you to have resided in the UK for at least 3 of the last 5 years and 2 of these years must be immediately preceding the point of your application.
