We are looking for someone who is organised, proactive and adaptable with good communication skills and a strong commitment to work. You’ll bring skills such as good attention to detail and the ability to work collaboratively, whilst being able to manage competing priorities and contributing positively to a busy office team.

The post involves working with the Pharmacy Office and with the Director of Pharmacy to provide a full range of clinical administrative and clerical office services to the Pharmacy Department.

The postholder must be confident in dealing with service users face to face as well as on the telephone and carry out duties as assigned to them by the Pharmacy Administration / Deputy Administration Managers to ensure a comprehensive, high quality administrative service is provided to the team at all times.

Main duties of the job

To act as point of contact in the Pharmacy Office for inquiries both internally and externally.

To be responsible for the collection and updating of directorate databases and spreadsheets.

To ensure compliance with Trust procedures and policies within the pharmacy department including sickness returns.

To undertake departmental communication as instructed by the Pharmacy Administration Manager.

Detailed job description and main responsibilities

To provide the Pharmacy Administration Manager with comprehensive high quality administrative support in order to facilitate safe, effective departmental services and optimise clinical patient care.

To provide the Pharmacy Directorate with administrative/secretarial services, including ordering stationery, word processing, filing, photocopying, telephone communications, opening and distributing mail as appropriate.

Undertake any departmental communication as instructed by the Pharmacy Administration Manager to ensure any new initiatives or developments are cascaded throughout the department in a timely manner.

To be responsible for the collection and updating of directorate databases and spreadsheets for processing, storing and analysing data as instructed by the Pharmacy Administration Manager.

To plan and organise directorate meetings internally and externally including appropriate travel arrangements as required by the Pharmacy Administration Manager.

To monitor and update information relating to the directorate electronic ordering of goods and ensure items are recorded as received appropriately.

Person specification

Experience

  • Significant working knowledge of excel, outlook, PowerPoint and word
  • Knowledge and experience of Oracle, ESR, Trac Systems
  • Experience of working in an office environment
  • Good verbal and interpersonal skills

  • Ability to prioritise workload and meet deadlines (Multitasking)
