Overview

In this role you ensure the right information reaches the right people at the right time to keep a major real estate development moving. You own and govern the project’s electronic document system as the single source of truth, ensuring accuracy, version control, and audit readiness. You will collaborate with consultants, contractors, and client stakeholders to support milestones and minimize risk. The position offers ownership, clarity, and visible impact by shaping how teams handle documentation across design, construction, and handover.

Responsibilities

  • Own and administer the project’s electronic document system as the authoritative record
  • Configure and maintain structures, metadata, naming/numbering standards, permissions, and workflows
  • Manage user access and onboarding/offboarding for stakeholders
  • Coordinate upgrades, integrations, and incident resolution with the system vendor and tech teams
  • Develop and enforce document control procedures aligned with ISO 19650
  • Quality-check incoming/outgoing documents for naming, metadata, revision, status, and suitability
  • Control revisions and archive superseded documents while keeping current status clear
  • Manage review/approval workflows, technical queries, information requests, submittals, drawing issues, and change notices
  • Issue and track transmittals and chase overdue actions to maintain momentum
  • Produce status reports, overdue registers, and KPIs for project leadership
  • Assemble milestone and handover document packs, including O&M deliverables at completion

Key requirements

  • Solid work experience in document control on major construction, infrastructure, or commercial real estate projects
  • Experience supporting at least one project valued above 250m
  • Expert administrator of an electronic document system/common data environment (e.g., Aconex, Asite, Procore, Autodesk Construction Cloud, Viewpoint for Projects)
  • Strong knowledge of ISO 19650 information management principles and workflows
  • Experience configuring workflows, metadata, numbering systems, and permission models
  • Advanced proficiency in Microsoft 365 (Excel, SharePoint, Teams, Outlook) including large registers/data sets
  • Proven ability to maintain audit-ready records and clear document trails under time pressure
  • Strong written and verbal communication with ability to challenge non-compliant submissions
  • High attention to detail, numeracy, and disciplined follow-through
  • Ability to handle sensitive information with appropriate judgement and controls
  • Right to work in the UK and availability to work 5 days/week in London office
