Job Description:

Part-Time Executive Assistant / Office Manager

Manchester City Centre | 18 hours per week | Up to £45,000 pro rata

An exciting opportunity to join a growing start-up in Manchester city centre as a Part-Time Executive Assistant / Office Manager.

This is a varied role combining high-level executive support with responsibility for the day-to-day running of the business. You’ll work closely with the Founder, managing their diary and travel while also taking ownership of suppliers, invoicing, administration, processes and general office operations.

We’re looking for someone who is proactive, commercially minded and enjoys making things work better. Someone who can look at a business, spot where something could be improved and take the initiative to fix it.

The role

You’ll become a key part of the business, providing trusted support to the Founder while helping to create the structure and processes needed as the company continues to grow.

This would suit someone who has worked as an Executive Assistant, Office Manager or in a hybrid EA/Office Management role, particularly someone who enjoys having a broad remit and getting involved in how a business operates.

Key responsibilities

Executive Support

  • Manage the Founder’s diary, meetings and appointments
  • Arrange and manage business travel
  • Manage expenses and associated administration
  • Provide proactive and confidential support to the Founder
  • Anticipate requirements and help keep the Founder organised and on top of priorities

Office & Business Management

  • Manage relationships with suppliers and external providers
  • Oversee invoices, expenses and general administration
  • Support the smooth day-to-day running of the office
  • Create and maintain processes, checklists and documentation
  • Support recruitment administration, including writing job descriptions and creating new starter checklists
  • Help introduce structure and organisation as the business grows
  • Identify opportunities to improve processes and make the business more efficient
  • Look for opportunities to automate repetitive tasks and introduce better systems
  • Support with projects and other business priorities
  • Develop weekly reporting as the role progresses

About you

We’re looking for someone who is organised, proactive and naturally takes ownership.

You won’t be someone who simply waits to be told what needs doing. You’ll be curious about how things work, confident asking questions and willing to take the initiative to find better ways of doing things.

You’ll ideally have experience in EA, Office Management or a combination of both, with experience supporting a senior executive and managing wider business administration.

We’re particularly interested in someone who:

  • Has experience supporting a Founder, CEO, MD or other senior executive
  • Is highly organised with excellent attention to detail
  • Can manage multiple priorities independently
  • Is comfortable dealing with suppliers and external contacts
  • Enjoys improving processes rather than simply following them
  • Is confident using technology and interested in automation
  • Has strong written and verbal communication skills
  • Is discreet and trustworthy
  • Enjoys working in a start-up environment where things can change quickly
  • Has the ambition to take on increasing responsibility as the business grows

You don’t need to have held an Operations Manager title. In fact, this could be an ideal opportunity for an experienced EA or Office Manager who wants to broaden their remit and develop their career further.

What’s on offer?

  • Up to £45,000 pro rata
  • 18 hours per week
  • Ideally 10am-2:30pm Monday, Tuesday, Thursday and Friday, or three full days Tuesday-Thursday/Friday depending on preference
  • Flexible working hours for the right person, including those with childcare commitments
  • £1,000 personal development and training budget every year
  • Christmas bonus
  • Beautiful Manchester city centre office, close to St Peter’s Square
  • Free breakfast and snacks in the office
  • Pilates classes
  • A genuinely varied role with the opportunity to make a visible impact
  • Potential for the role to become full-time in the future as the business grows

If you’re an experienced EA or Office Manager looking for a part-time role where you can have genuine influence, work closely with a Founder and become an important part of a growing business, we’d love to hear from you.
