The practice combines high-quality GP care with a concierge-style approach, supporting patients through consultations, diagnostics, specialist referrals, ongoing care and medical coordination. It’s a boutique environment where attention to detail, professionalism and a genuinely personal approach to patient care are highly valued.
About the Role
This is more than a traditional office or operations management role. As Practice Manager, you’ll be a trusted deputy to the Practice Owner, overseeing daily operations, leading a team of six, managing finances and compliance, and ensuring the highest standards of patient care.
You’ll combine strong organisational skills and sound judgement with a genuine passion for hospitality. From managing schedules and prioritising patient needs to supporting your team and keeping everything running behind the scenes, you’ll play a key role in delivering an exceptional patient experience.
Key Responsibilities
- Oversee the day-to-day running of the practice, ensuring operations are organised, efficient and running smoothly.
- Manage diaries, appointments, schedules and resources, using sound judgement to prioritise patient needs and assess urgency.
- Act as a trusted deputy to the Practice Owner, taking initiative, solving problems and keeping daily operations on track.
- Lead and support a team of approximately six people, managing workloads, rotas, performance, training and day-to-day team needs.
- Ensure patients receive a high level of personalised care, with excellent communication, attention to detail, discretion and timely follow-up.
- Handle patient enquiries and concerns with empathy and professionalism, ensuring issues are resolved appropriately.
- Oversee clinical administration, practice policies, compliance, governance, data protection and relevant healthcare regulations.
- Maintain accurate records, staff documentation, training records and other essential practice information.
- Manage financial administration, including invoicing, billing, payments, private medical insurance claims and financial reporting.
- Monitor operational performance, identify opportunities to improve processes and support effective business decisions.
- Coordinate with clinicians, external suppliers, insurers and other partners to ensure a seamless service.
- Anticipate challenges, manage logistics and adapt to changing priorities in a busy, patient-focused environment.
What We’re Looking For
- Proven experience in practice management, healthcare operations, clinic management or a similar role.
- Experience managing people, overseeing daily operations and handling competing priorities.
- An understanding of healthcare compliance, clinical governance and data protection.
- Experience with financial administration, billing, invoicing and reporting.
- Strong organisational skills and excellent attention to detail.
- Confident communication skills, with the ability to handle sensitive matters professionally and discreetly.
- Good judgement and the ability to assess priorities, solve problems and make decisions independently.
- A proactive, hands-on approach, with the confidence to take ownership and anticipate what needs to be done.
- Flexibility and a willingness to adapt to the needs of an on-site practice.
Experience in private healthcare, concierge services, medical insurance billing or a premium hospitality environment would be a strong advantage.
The Ideal Candidate
We’re looking for someone who combines operational excellence with a genuine passion for patient care.

Most importantly, you recognise that exceptional healthcare goes beyond the clinical side. It’s about making patients feel valued, cared for and supported at every stage.
