Job Description:

RSPCA Hull & East Riding Branch CIO is looking for an organised, professional and people-focused Senior Administrator to provide high-quality administrative coordination and front-of-house support across our busy local animal welfare charity.

This is more than an office administration role. You’ll be a key point of contact for visitors, donors, customers, volunteers and colleagues, helping to keep information, processes, meetings, records and day-to-day activity organised and moving forward.

Working closely with our Head of Operations and colleagues across the Branch, you’ll coordinate administrative workflows, maintain accurate and confidential records, support governance and partnership activity, and help ensure enquiries and applications are dealt with efficiently and professionally.

What will you be doing?

You’ll have a varied role, including:

  • Providing reliable day-to-day senior administrative support across the Branch.
  • Coordinating reception and front-of-house activity, ensuring visitors, callers, donors and customers receive a welcoming and professional service.
  • Managing work plans, action logs, trackers, filing systems and administrative processes.
  • Coordinating the administrative journey for prospective volunteers, from initial enquiry and application through to agreed checks and handover to the relevant colleague.
  • Supporting trustee, committee and partnership meetings, including agendas, papers, minutes, actions and follow-up.
  • Maintaining records relating to policies, training, licences, contracts, subscriptions and other compliance requirements.
  • Supporting routine monitoring, record checks and quarterly reporting.
  • Helping maintain accurate information across Branch and National Society webpages.
  • Receiving and recording donations, processing shop transactions and supporting agreed financial and administrative controls.
  • Identifying opportunities to improve administrative systems, reduce duplication and make processes clearer and more effective.
  • Handling confidential and sensitive information appropriately and escalating safeguarding, operational, financial or other concerns when required.

Who are we looking for?

We’re looking for someone who is highly organised, dependable and confident working with people, who takes pride in getting the detail right while keeping sight of the bigger picture.

You’ll need substantial experience in senior administration, practice administration, office coordination or a similar public-facing environment. You’ll be comfortable managing competing priorities, following up actions, maintaining accurate records and working across different teams.

You’ll also need:

  • Excellent organisational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Confidence using Microsoft Office, spreadsheets, email and digital filing systems.
  • The ability to handle confidential information appropriately.
  • A professional, welcoming and calm approach to dealing with people.
  • Good judgement, knowing when to resolve an issue yourself and when to elevate it.
  • The ability to manage deadlines, maintain accurate records and keep administrative processes moving.
  • Experience of working within a charity, healthcare, public service or community environment would be useful, as would experience of volunteer administration, governance, compliance monitoring or supporting formal meetings.

Most importantly, we’re looking for someone who is practical, proactive and committed to providing a high-quality service – someone who notices what needs doing and takes responsibility for helping get it done.

Our Branch is over 100 years old and is a local, independent charity working in partnership with the national RSPCA. We run an Animal Rescue Centre serving the communities of Hull and the East Riding, supported by the community around us.

Our purpose is simple: to care and be the voice of animals for as long as they need us.

We’re proud of our heritage, but we’re equally focused on what comes next. As we develop our services, grow our income and work towards our Building Hope plans for the future of our Clough Road site, effective administration and strong organisational support are essential.

You’ll be joining an awesome team where professionalism, kindness and friendliness matter.

Our culture is centred on inclusion, collaboration and helping people bring their skills to the organisation. We want people who are committed to making a positive contribution, both to the animals we care for and to the colleagues, volunteers and communities we work alongside.
